Records are the cheapest tool in beekeeping and the most neglected. Nothing gives the power of comparison that a well-kept record does.

Why memory is not enough

Holding twenty colonies and a whole season in your head is not possible. And memory is not merely incomplete — it is misleading: a colony that did well is overrated, one caught on a bad day is written off.

What to record at each inspection

• Date and colony number
• Is there a queen — eggs, brood pattern
• Colony strength
• Stores
• Queen cells
• Signs of disease
• What was done
• What to do next time

The last line is the most useful. Writing the next step saves reassessing from scratch at the following visit.

Seasonal records

• Date pollen first came in
• Start and end of the main flow
• Date the first queen cell was seen
• Harvest dates and quantities
• Varroa measurements and treatments
• Weight going into winter
• Winter losses and their causes

After a few seasons this becomes a forage and management calendar for your own area that no general source can provide.

Legally required records

Some records are obligatory in many countries:

• Medicine use: Product, date, dose, colonies treated
• Colony movements: Where from, where to, when, how many
• Sales: To whom, when, how many colonies
• Apiary registration

When a disease problem arises the first thing asked is colony movements. Without that record the source cannot be traced and the scope of measures is drawn wider than necessary.

Method

The method matters less than the habit. A notebook, a card fixed under the roof, a phone note, a spreadsheet — all work.

Two practical points: record at the hive rather than afterwards, and keep the colony number where you can see it.
